Job Description: Personal Assistant

Schedule: 5-15 hrs week

Monday - Friday mostly

Location: private home in 85/Lenox area (Lenox Park) sometimes but much of the work can be done remotely at your home provided you have an environment conducive to that.


Assistant will wear many hats. The principal you would work for is a part-time Holistic Healthcare practitioner with a part-time practice. She is taking care of her elderly father and managing his affairs, renovating three buildings, general contracting these renovations and researching non-toxic building materials to use in those. Much of this research is underway.

Your main job description is to make the principal’s life easier. Here are the current main activities of the job.

• In terms of the building renovations, there will be internet research on non-toxic building materials and contractor research and scheduling that will need to be turned around quickly. Also the need arises to pick up / order sample materials for testing. There are files that need to be updated and organized around all the data we are gathering.

• There will be a need to run errands for the elderly father and principal on occasions.

• For the part-time health care practice, there will be the need to check phones and emails, return calls and emails for the healing practice, schedule the practitioner’s sessions , send out informational / intake packets to clients, notify the practitioner of action that needs to be taken, and basically be the front office person. It is specifically NOT to administer any health advice. This requires discretion and ability to set boundaries. You need to be able to be courteous and also close a discussion quickly. Once you have proven yourself, this job can be done from any location some of the time. The practitioner is only part-time and this part of the work will be minimal but steady. You will be the first person in the company potential clients speak to. Promptness is key here as well as keeping the conversations focused.

• The father has dementia and requires 24/7 sitters. We have them in place but there is a requirement to assist with the management of them, their schedules and confirming correct payment of agencies and sitters. Also this work requires coordinating with the agencies to assure smooth running of schedule, sometimes dealing with emergencies at odd times if there is a problem with a sitter. There is a manual in place to care for the father. This also needs updating from time to time. Sometimes there will be grocery runs for the father. There are specific organic products and brands you will be picking up. Attention to detail and dependability are key here.

Key Skill Set:

• Professional, trustworthy, honest, ethical, and reliable personal assistant.

• Discretion and ability to keep private data private is key.

• Excellent attention to detail, very organized, exceptional follow through and structure are a must for principal supported.

• Time management, quick / documented results key.

• Computer skills: internet / google searches, email, word, excel required. Quicken, Quickbooks, Quickbooks Contact Manager, Photoshop, Publisher helpful.

• Must have your own laptop.

• Communication skills (both oral and written) and phone skills are a must. Pleasant but focused (gets down to business) and not easily derailed in conversation.

• College degree is necessary.

• Business skills and experience are a plus.

• Ability to handle tasks with minimum guidance AND is able to take direction.

• Must be able to demonstrate competence, judgment, and stay on task.

• Client prefers someone that has excellent communication skills, calm demeanor, and is quick in regard to problem solving.

• Friendly and non-obtrusive.

• Should be capable, self-confident.

• Highly proactive and resourceful, able to solve problems with minimal oversight.

• Ability to adjust to and accommodate changing circumstance.

• Business experience a big plus.

• We prefer to hire individual that is already incorporated and handles own taxes, not an agency.

• Flexibility is key.

Once trust is built most of the job can be handled offsite and we would prefer it that way, Quick, documented results and time management are key if you are not working on-site.

Seeking someone who wants flexibility and the ability to work from home that can commit to position for at least 6 months and is OK with low hours (5-15 a week). If job is not great fit, please don’t apply. Don’t want to waste time training.

This job will be a 1099 situation. If you are incorporated that is a major plus.
