Default Executive Assistant- DFW area (TX)

We are an established national staffing agency seeking candidates for a part time administrative assistant for a non-profit council representing clients TX, OK, NM and KS.

The ideal candidate is a self starter, a go-getter and a problem solver. Must be able to work independently, meet deadlines and take feedback well. Must have professional maturity and executive presence.

Schedule: 20 hours per week (M-F) *Do Not Apply if Seeking Full Time Employment* This position will remain part time and will not lead to full time employment.

Location: Works remotely, will meet with Sr. Director occasionally at headquarters in Grand Prairie and/or other locations in the DFW area.

Purpose of Position:
(a) provide administrative support to the Senior Director of Corporate and Consumer Communications;
(b) to support planning & logistics for related organization meetings & events

Examples of Activities:
1. Support & manage daily administrative duties for the Sr. Director (75% of time)
a. Discreetly handle confidential written and oral information.
b. Record the minutes of team conference calls and meetings
c. Collect, assemble and provide various education related information/materials related to the marketing plan
d. Work with Sr. Director and key staff to coordinate calendars.
e. Coordinate travel arrangements and meeting needs.
f. Assist with presentations, written communication and ad-hoc requests in a timely manner.
g. Assist with data analysis, results tracking & reporting on-going.
h. Schedule meetings and arrange appropriate logistical needs.
i. Provide backup on processing invoices, check requests, expense reports and other financial or expense related documents.

2. Support planning & logistics for Communications Department, events and organization meetings (25% of time)
a. Schedule, attend and contribute to the planning of various meetings.
b. Ensure event items are in place and ordered.
c. Coordinate with Executive Assistant to locate & procure meeting site.
d. Lead logistics planning & execution, i.e. food, setup, IT, etc.
e. Attend & support meeting as needed.

Minimum Qualifications, Knowledge, Skills & Abilities:
a. Skill at dealing effectively with internal and external contacts at all levels.
b. Ability to prioritize and complete multiple tasks and follow through to achieve goals.
c. Ability to deal with sensitive and confidential information and situations with diplomacy, discretion and executive presence.
d. Skill at performing clerical work with accuracy and attention to detail.
e. Ability to support multiple staff at one time.
f. Proficient in grammar, spelling, copyediting and proofreading, audio / visual equipment, computer software programs including Windows, Excel, Outlook, MS Word & PowerPoint.

Education & Experience: Minimum Associate Degree or 5 years of experience providing administrative support to senior executives.

Travel: Expected travel approximately 15%.

Schedule: Part-time (Approximately 20 hours per week)

Pay: $16-$18 per hour (DOE)
