Vesta Home Performance is a small specialty general contractor providing energy efficiency upgrades to homes in Seattle. In business for more than 2 years, Vesta makes homes more comfortable while also improving the indoor air quality, lowering utility bills, increasing durability, and raising home value. With decades of construction experience, plus years of relevant building science training, Vesta is one of the premier home performance contractors in the region.
Vesta is hiring a part-time admin/project coordinator position to help in the everyday operations of the company. This person will be able to work from home, using a computer and phone supplied by Vesta; the company operates with a virtual office, sharing files via the internet. Regular check-ins by phone and e-mail with members of the Vesta team will be expected, along with at least one weekly in-person or Skype meeting. Some driving will be required.
Vesta has a passionate and dedicated core team, and belief in the mission is an important piece of the hiring equation. This position would report to both the Operations Manager and the Field Manager.
CORE JOB RESPONSIBILITIES
Admin
Pick up, sort, and send USPS mail
Answer main Vesta phone number, and route calls accordingly
Deposit checks at bank
Maintain Google Apps calendars and contacts
Serve as liaison to bookkeeper
Support marketing efforts by sending out flyers, arranging events, and tracking client referrals and testimonials
Occasional errands to pick up uniforms, marketing materials, etc.
Regular communications with core management team
Client Relations
Send contracts and letters to clients (based on existing templates)
Format proposals and reports for clients (based on existing templates)
Maintain electronic client files in Dropbox and SalesForce
Support Field Manager and Projects
Orchestrate Field Manager's schedule and prioritize "to do" list
Support field work, arranging and confirming subs and ordering and/or picking up materials
Compile biweekly payroll information from crew timesheets
Communications with the field crew
Maintenance of client/job task list
Other duties as assigned
Qualifications and Requirements
Strong written and verbal communication skills
Great customer service, especially over the phone
Solid organizational skills
Self-motivated and autonomous, for working in a remote office
Good judgment for prioritizing work, and flexible to changing schedules (common in construction)
Responsible, able to maintain confidentiality with clients, care with sensitive financial data, and follow-through with tasks
Comfortable with deadlines, timely, responsive
Fast and accurate typing
Proficient with the Microsoft Office suite (especially Word and Excel)
Comfort with Adobe Reader and Acrobat
SalesForce and Google Apps experience desirable
Experience with sales desirable
Experience with Adobe Illustrator, InDesign, and/or Photoshop a plus
Interest in sustainability and green building a big plus
Requirements
Current WA State driver's license
Vehicle with current tabs and insurance
Minimum 2-yr college degree
Minimum 2 years of office work experience, with references
Positive, friendly, and creative attitude!

Wage: $15 - $20/hr DOE
Hours: 20 - 30 hrs/week, Mon - Fri
