I am wondering if any of you are having trouble with ladies cancelling on you? I know it is bound to happen but not constantly- right?!I am getting very frustrated. smileys/smiley7.gif
This is what seems to be happening and I am not sure what I need to do. I give the hostess additional products at a great discount for bookings added to my calendar at her spa. Well- the hostess gets her products THEN the ladies who book call and cancel AFTER the hostess has already received her products for their bookings. When I send out my hostess packets, I have a letter in there that also asksfor the hostessto not cancel on me onceshe has received my packet. I adda note that I will call the day before the spa to get directions, etc. So when I call, I get the cancellation. I am not so good at this yet and that is another reason why I get on this board- so much good info- and I just know someone has the answer I need.
I am in need of some pointersfrom those of you who have encountered and mastered this situation. I have even thought of telling the hostess that her discounts can only be redeemed at the spas booked at her spa but what if she doesn't plan to go to theirs? I had several spas on my calendar but for some crazy reason they either want to reschedule or cancel. H-e-l-p!

I do give a booking gift right away to the new hostess, but the hostess that they booked fromnever gets her credit until all those bookings hold. That way, she has to encourage her friends to hold their parties to get the free product. Are they cancelling or are you getting a new date from them?
The post about hostess rewards was a good one. They only get those rewards if they hold it the original day. While I agree in principal, there are times when a hostess has to legitimately reschedule...death in family, whole family has the flu, etc.
My February had a lot of switching datesgoing on and I decided to give them an extra $25 in free product for holding the original date. So far that has worked! I do have one in April that needs to reschedule but I have another date. When they call to tell me about cancelling, I get a new date during that conversation.
Hostesses who do not go to their friend's spa parties are notified by me that they held. That way they know they can pick out the items that they want.

I have heard that when we, the consultant, send out the invites there is less chance of cancellations. Not sure why that would be, they have even less invested in it is my immediate thought. But, I have heard that from many different sources, to have control of your calendar, get that guest list from the new hostess right away (w/i 3 days of the booking).
Anyone have any experience with that? I am going to start it this next month and see how it goes. Another tip I heard too: put a sticker on one invite, and tell the hostess when she calls the guests that if they have a sticker they get a free gift. Encourages her to call.smileys/smiley2.gif

Some of the ladies reschedule but the past few have not- I asked them if there is another date that will work and they tell me tocall them later. It is so frustrating to have this happen time after time especially too close together- and during the promotion!
I think I'm gonna change my hostess letter and figure out a way to make the hostess happy but also not get so many cancellations. Thank you ladies so much for your replies!

I feel for you! I am in the same situation! I only had 2 spas this month (and they were the same day with the same hostess) and my other ones either cancelled or never returned my phone calls or emails. I know it is very discouraging. I am hoping to have things turn around for me too, hopefully with everyones help from here! smileys/smiley1.gif

I do have experience with sending out invitations to the guests when I was with a different company. Those postcards can get lost in the mail or arrive late half the time! It can be a lot of work to get those guest lists too.
Iencourage my hostesses to send e-vites to her friends after she has personally called to invite them. I can see her guest list from her hostess page.

I printed off invitations for the hostess before and mailed them for her and she had two out of the 15 to show up. And Vicki is so right- the mail system isn't always dependent.I just started doing the hostess packets and place a blank invitation inside for the hostesss to duplicate and send/pass out to those she wants to attend.
I think if they are gonna cancel or reschedule that they should at least call you once they get the packet so you can have a chance to fill in that date with someone else. A few call but then there are some who don'tnotify me at all. When I give them a call the day before the spa THEN they cancel on me.

I know exactly how you feel! I have had nothing for the last two weeks and I'm ready to throw in the towel! I've been doing everything I can to get some spas on the books, or at least one on ones. Nobody is taking me up on it. I had a spa booked for last saturday, I called her 4 days before and got her machine, I called her every other day after that and left messages, the day before the spa I called both numbers she gave me and they were BOTH disconnected and she moved without giving me her new address!smileys/smiley7.gif
I know things are going to get better, but it's just so bloomin' discouraging! Feel like I'm beating my head against a wall. Oh well, thanks for letting me blow off steamsmileys/smiley4.gif

It is so true! There are 2 ways to look at every situation. Obviously, that hostess was not very reliable.
Yes, it does get frustrating! Some women do not see the value in slowing down and relaxing! Just keep offering and explain it in such a way they can't say no.
Remember to tell your hostesses that invitations are great, but a personal invitation is so much better. If they feel uncomfortable about what to say, give them the hostess script found on your beautipage's hostess section. That should help!

Vicki, I totally agree with what you've said here. The best invitation is a persoanl phone call or face-to-face invitaion. That way the people you invite can see/hear the excitement about the Spa iteself. Another thing I want to suggest is to make sure you creat a relatiohsjhip with your hostess. Touch base with her more often than just the time you meet her at the first spa and the day before the spa she books. if you create a relationship, even if it's just a few quick calls to check in before the spa, I think it's a lot harder for a hostess to cancel because she doesn't want to let the team down. The days you do your phone calls for one on ones, ask what are they doing now, esp if you feel a "I can't then" coming on. I did one this week the same day. Then I went in with incentives for leads. You can call back for leads. Sometimes you have to go while their excitement is hot. LOL

Mabey you should duplicate the invitations yourself. Some people may not have the sources/energy/money to do it themselves. Try making the hostess do as little work as possible. Women are visual, so it will help to give the hostess the cards so that her guests can see them and have a friendly reminder! Good luck to you.
